Switchboard Operator

SUMMARY:  The Switchboard Operator/Receptionist is a public relations person. Patience and tolerance is required to receive, relay, place calls, greet and direct visitors continually throughout the day. The position also requires personal warmth, courtesy and tactfulness relating to people and handling difficult situations.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

 

  1. Operates multi-function phone system to relay incoming and outgoing calls

  2. Answers questions of callers and visitors and directs appropriately

  3. Pages overhead when necessary

  4. Makes chain calls

  5. Controls security doors

  6. Uses computer for in-house email and basic word processing

  7. Takes requests for the Prayer Board

  8. Prepares and distributes routing sheets for admissions, transfers and discharges

  9. Distributes employment application when appropriate

  10. Sells meal tickets and stamps

  11. Takes reservations for guests for holiday meals and requests for hospitality

  12. Assist with training new employees/volunteers when necessary

  13. Orders roses for new admissions to Mercy Center Nursing Unit, Inc. as needed

 

SUPERVISORY RESPONSIBILITIES:

This position has no supervisory responsibilities.

 

QUALIFICATIONS:

Detail orientation

Capable of confidentiality

Capable of handling emergency situations

Pleasant voice with clear enunciation

Able to work with minimum supervision

Well developed organizational skills.

 

EDUCATION and or EXPERIENCE:

High school diploma or equivalent with two to five years office/secretarial experience.

 

LANGUAGE SKILLS:

Must be able to read, write, and speak English

 

 

MATHEMATICAL SKILLS:

Basic math skills to include addition, subtraction, multiplication, and division

 

REASONING ABILITY:

Must be able to make common sense decisions to carry out written or oral instruction. 

Ability to deal with problems involving a few concrete variables in standardized situations.

 

PHYSICAL DEMANDS:

Sits, stands, bends, intermittently during the working hours

Must be able to lift up to 10 1bs.

 

WORK ENVIRONMENT:

Professional office environment.

Subject to frequent interruptions

Communicates with residents, staff, and resident’s family and/or representatives under all conditions and circumstances.
